Basic Policy

Marunouchi Innovation Partners Co., Ltd. ("MIP" or the “Company”) respecting the autonomy of the individual, handles personal information (including Specific Personal Information as defined in the Act on the Use of Numbers to Identify Specific Individuals in Administrative Procedures (the “My Number Act”)) appropriately by complying with the Act on the Protection of Personal Information, the My Number Act, related laws and regulations, and guidelines from supervisory authorities, etc..

  1. MIP will put into place a management system that makes clear the person(s) responsible and establishes internal regulations for the protection of personal information.

  2. MIP will acquire and handle personal information properly and appropriately within the scope necessary for achieving the purposes of use which it has notified the relevant individuals of or disclosed to the public.

  3. MIP will, upon receipt of complaints regarding its handling of personal information, assess the facts and circumstances in a timely manner and work with integrity to remedy the concerns raised.

  4. MIP will take appropriate security management measures in accordance with laws and regulations to prevent any loss, destruction, falsification, leak, etc. of personal information.

  5. MIP will take necessary measures in accordance with laws and regulations when providing personal information to a third party.

  6. MIP will respond to requests for disclosure, correction, etc. or suspension of use of personal information and inquiries concerning personal information as soon as possible in accordance with laws and regulations.

  7. MIP will endeavor to make every employee fully informed of the rules for proper handling of personal information through internal education and enlightenment activities, and continuously review the basic policy and the management system for personal information.

Purposes of use of personal information

MIP will, except as notified by other methods, handle the personal information provided by you within the scope necessary for achieving the following purposes on the grounds of the performance of agreements, compliance with legal obligations, or other legitimate interests of MIP or a third party (such as appropriate business execution by MIP).

When personal information needs to be handled for the performance of an agreement or otherwise needs to be handled for the pursuit of legitimate interests such as appropriate business execution by MIP or a third party:

  1. Formation and management services of investment funds.

  2. Confirmation of identities of individuals who are designated as the authorized representatives of the contracting party in subscription documents and other agreements.

  3. Conclusion and performance of due diligence, agreements, payments, and management of other transactions, as well as management of investments.

When personal information needs to be handled for the pursuit of legitimate interests such as appropriate business execution by MIP or a third party:

  1. Communications, notifications of officer changes, and notifications and greetings based on social customs such as sending of notebooks, calendars or greeting cards.

  2. Provision of information on products or services related to transactions.

  3. Invitation to meetings, lectures, seminars and other events.

  4. Investigation, analysis, research and audits concerning businesses of MIP.

  5. Preparation of statistical information, analysis of anonymized personal information, and pseudonymously processed personal information for other use by MIP.

  6. Information exchanges and communications with people involved in the industries/groups related to businesses of MIP.

When personal information needs to be handled for the pursuit of legitimate interests such as appropriate business execution by MIP or a third party:

  1. Exercise of rights and performance of obligations under the Companies Act or other related laws and regulations.

  2. Shareholder management under applicable laws and regulations including preparation of shareholder-related records.

  3. Implementation of measures to facilitate relationships with shareholders and provision of facilities to shareholders.

(name, date of birth, sex, address, phone number, face photo, family composition, income, property information such as account numbers or credit numbers, passport information, health insurance card information, driver’s license information, employee number, department/qualifications/title/duties of the employer, performance review, information and communication infrastructure use logs, etc.)

When personal information needs to be handled for the performance of an agreement or for the pursuit of legitimate interests such as appropriate business execution by MIP or a third party:

  1. Personnel management, wage management, and activities related to training and education, expatriate employees and temporarily seconded employees, health and safety management, and welfare benefits.

  2. Compliance matters as required by laws and regulations applicable to MIP.

When personal information needs to be handled for the pursuit of legitimate interests such as appropriate business execution by MIP or a third party:

  1. Management for the use and maintenance of information and communications infrastructure, understanding of the actual state of business based on use logs of information and communications infrastructure, and analysis activities for business improvement.

  2. Other related activities necessary to enforce rules or execute business.


Notwithstanding the above, the handling of Specific Personal Information is limited to cases where it is necessary to achieve the purposes of the personal number-related affairs and other procedures prescribed in the My Number Act or permitted by laws and regulations.

To achieve the above purposes of use, MIP may entrust the provided personal information to its contractors. In such cases, MIP will exercise necessary and appropriate supervision over them to ensure the security management of the entrusted personal information, etc. MIP may provide personal information to public agencies if requested thereby pursuant to laws and regulations.

In cases such as where the provision of certain personal information to MIP is a statutory or contractual requirement or a requirement necessary to make an agreement, the provision of the relevant personal information may be made compulsory. If the relevant personal information is not provided, MIP may not be able to provide the product or service requested by you.

In accordance with laws and regulations, sensitive information will not be used or offered to any third party for purposes other than to properly conduct MIP’s business or for other purposes deemed necessary.

Provision of Personal Data to Third Parties

MIP complies with the Act on the Protection of Personal Information, and other applicable laws and regulations, when providing personal data to third parties.

Notwithstanding the above, with regard to Specific Personal Information collected, used and stored in accordance with the My Number Act, the Company will not provide such information to any third parties, regardless of whether or not the persons concerned have given consent, except where required by laws.

Security Control Measures for Personal Data

Regarding the provided personal data (including the personal information acquired or to be acquired by MIP, and planned for handling as personal data), MIP shall take the necessary and appropriate measures to ensure the security control of personal data including the prevention of the leakage, loss or damage of information. The provided personal data is stored only for the period necessary to achieve the above purposes of use. The specific storage period is determined in consideration of the purposes of use, the nature of the personal data, and the legal or operational need to retain the personal data.

Request for Disclosure, Correction or Suspension of Use, etc. of Personal Data

If MIP receives any request from a data subject for notification of purposes of use, disclosure (including disclosure of records on third-party provision), correction, deletion, suspension of use, deletion or suspension of provision to third parties with respect to personal data, MIP takes measures in good faith and without delay after confirming the identity of the person making the request.
